This policy describes the personal information we collect when you use Roaming Receipts, how we use it, and the choices available to you.

1. Introduction

Roaming Receipts operates the website and app at roamingreceipts.com. We help travel groups track, split, and settle shared trip expenses.

This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using the app, you agree to this policy. If you do not agree, please do not use the Service.

This policy reflects how the Service works today. If we add new features, analytics, or integrations that change how your data is handled, we will update this page before those changes take effect.

2. Information we collect

We collect information in these categories:

Account and profile information. When you register, we collect your name, email address, and password (stored only as a one-way hash). You may also upload a profile photo and update your display name. If you sign in with Google, we receive the profile information Google shares with us — typically your name, email address, and profile picture — according to your Google account settings.

Trip and expense data. We store the content you create in the Service, including trip names, dates, currencies, exchange rates, expense entries, split amounts, categories, itinerary links, settlement summaries, and trip activity feed posts.

User-uploaded files. If you choose to upload them, we store receipt images attached to expenses, photos added to a trip feed, and your profile avatar. These files are stored with our cloud storage and image delivery providers.

Social and sharing information. If you add friends within the Service, we store those connections. If you invite someone to a trip, we store the email address you provide for that invitation, even if that person does not yet have an account. Trip owners and accepted collaborators can see trip content and, where relevant, member names and email addresses needed to operate shared trips.

Authentication and session data. When you sign in, we create session records that may include your IP address, browser or device user agent, session token, and session expiration time. We use HTTP cookies and similar technologies to keep you signed in.

Communications with you. We process your email address to send account-related messages such as email verification, password reset links, and trip share invitations.

Client-side preferences. Your browser may store small amounts of local data for theme selection, install-prompt dismissal, and certain in-app preferences such as currency rate direction. This data stays on your device unless you clear it.

Support and diagnostic information. If you contact us or if the app sends diagnostic logs you initiate, we may receive the content of that message and related technical details needed to investigate the issue.

We do not intentionally collect payment card numbers. If we introduce paid plans later, payment details will be handled by our payment processor and not stored directly by us except as needed for billing records.

3. How we use your information

We use your information to:

  • create and manage your account and authenticate you;
  • provide trip expense tracking, splitting, sharing, and settlement features;
  • send transactional emails such as verification, password reset, and trip invitations;
  • process receipt images when you use receipt scanning;
  • store and display user-uploaded photos and avatars;
  • maintain security, prevent abuse, and enforce rate limits;
  • respond to support requests and fix bugs.

We do not use your information for third-party advertising. We do not sell your personal information.

4. Receipt scanning and automated processing

When you use receipt scanning, the image you submit is sent to a third-party automated processing service that extracts merchant name, date, line items, tax, total, and related fields. For scan-only requests, the image is processed to return results and is not saved as part of that scan request itself.

If you attach a receipt to an expense, the image is stored in our object storage and linked to that expense record until you or an authorized trip collaborator deletes it, or the related trip or expense is deleted.

Automated extraction may be inaccurate. You should review extracted values before relying on them for financial decisions.

5. How we share information

We share information only as described below:

With other users you choose to collaborate with. Trip data — including expenses, photos, member names, and email addresses needed for trip operation — is visible to trip owners and users who have accepted a trip share invitation. Friend connections expose limited profile information within the Service.

With service providers. We use trusted vendors to operate the Service, including:

  • cloud hosting, storage, and security providers;
  • database and infrastructure providers;
  • email delivery providers for account and trip-related messages;
  • automated processing providers for receipt scanning;
  • Google, if you choose to sign in with Google;
  • internal tools we use to investigate errors when diagnostic logs are submitted.

These providers process data on our behalf and only as needed to provide their services to us.

Legal reasons. We may disclose information if required by law or if we believe disclosure is necessary to protect rights, safety, or the integrity of the Service.

6. Cookies and similar technologies

We use cookies and similar technologies that are necessary to keep you signed in, protect accounts, and operate core features. We also use browser local storage for non-essential preferences such as theme and certain UI settings.

We do not currently use third-party advertising cookies or cross-site tracking analytics. If that changes, we will update this policy before it takes effect.

You can control cookies through your browser settings. Disabling essential cookies may prevent you from signing in or using parts of the Service.

7. Data retention

We retain your information for as long as your account is active or as needed to provide the Service.

When you delete trips, expenses, photos, or other content, we delete or de-identify associated records and stored files. There may be a short delay due to backup and caching systems.

Session records expire automatically. Verification and password-reset tokens expire after use or after a limited time.

To delete your account, contact us at support@roamingreceipts.com. We will take reasonable steps to remove your data, subject to information retained in routine backups for a limited period.

8. Security

We protect your information using encrypted transport (HTTPS), hashed passwords, access controls, and infrastructure provided by reputable cloud vendors.

No method of transmission or storage is completely secure. You are responsible for keeping your password confidential and for activity under your account.

9. Your choices

You can:

  • update your name, email, and profile photo in account settings;
  • delete trips, expenses, and uploaded content at any time;
  • request full account deletion by emailing support@roamingreceipts.com;
  • ask us what information we hold about you by emailing the same address.

We will respond to requests as promptly as we can and may need to verify your identity before acting.

10. Children

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact support@roamingreceipts.com and we will take appropriate steps to delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. If changes are significant, we will let you know by email or in-app notice before they take effect.

Continued use of the Service after an update means you accept the revised policy.
